What is a VoIP telephone system?
A VoIP telephone system, or Voice Over Internet Protocol, are computers that utilize the internet versus traditional phone lines that can simulate dial tone and function as a telephone system. They are advantageous for companies with multiple locations for a variety of reasons including reduced incoming phone lines and long distance expense.
Will on-hold-messaging work with a VoIP system?
Yes.
Do I need messaging hardware with a VoIP system?
No, but many companies still opt to use on-hold messaging hardware with a VoIP system -- mostly for the ease and timeliness of loading new audio productions. Some companies do not have the personnel on staff to perform such tasks and therefore have to rely on their VoIP provider to load new updates for them. As a result occasionally updates do not get loaded. Connecting easy-to use on-hold messaging hardware from MacDonald Audio to a VoIP system alleviates this issue and ensures all updates are loaded in a timely manner.
Can I have different messages playing for separate departments?
Absolutely; and this is a real strength of VoIP systems as it relates to on-hold messaging. Departmental messaging (messaging targeted and themed for a specific department/area within your company) with a VoIP system is practical and is employed very successfully.
Are the messages on a loop or do they start over each time a call is place on hold?
Both are an option when using VoIP technology. Messages can be played on a continuous loop (meaning that when a caller is placed on hold, they may 'land' anywhere in the messaging sequence) or the messaging can revert back to the beginning each time a caller is placed on hold.
How many messages can I have with a VoIP system?
Typically the VoIP system's hold reversion time dictates the length and total number of messages allowed. Most VoIP systems have the hold time set to 60 or 90 seconds; then the call will ring back to the operator or go to a specific voice mail box. Hold Reversion time set to 60 seconds will typically allow for three messages, while 90 seconds will allow for approximately five messages.
Summary
VoIP telephone systems and on-hold-messaging are very compatible. The most important criterion is identifying the customer's messaging goals, and then using the technical capabilities of the VoIP to efficiently and effectively attain those goals.
